Requesting and managing projects

OSC client portal allows users to request and manage their projects.

Requesting a new project

New academic projects

To request a new project, navigate to Project -> New Academic Project. Below is some more information on certain fields.

Project Type

If the requested project will be used for a classroom or a workshop, then the project type should be changed to a Classroom project.

Allocation Type

The allocation type has several options. These options have more detailed explanations on the application help page. Depending on the allocation type selected, there may be more requirements in the application process.

Special Properties

If a project is going to store any type of data that requires access controls due to any regulations, then it should be marked with a special property. More information on the different special properties can be found on the protected data types page.

Fill in the required fields in order to continue the application.

After continuing, the next requires that a project proposal document be uploaded. Again, see the application help page for more information on the content of this document. The amount of RUs can be specified here, along with the amount of storage and the number of files needed for data storage. Any existing funding source can be added to the project here. Publications can be created and entered, or existing ones entered as well.

Continuing with the application will bring one to the Additional Documents page. If more documents are needed, depending on the allocation type selected, they can be entered here.

Next, will be the Project Reviewers page. Again, depending on the type of allocation requested, 2 project reviewers may need to be entered. These should be colleagues that can review the documents submitted with the project application and verify that it is a valid use of compute resources; this colleague must not have vested interest in procurement of the compute resources, but there is no restriction on colleague institution or position.

Finally, the project application can be saved for later or submitted on the final page.

Dependent on the type of allocation, the application will be processed at different times. More details can be found from our Allocations Committee Policy or our application help page

After the project is submitted, users can be added or invited to the project.

New commercial projects

If a user with a commercial institution needs to request a new project, then they can navigate to Project -> New Commercial Project.

The pricing implications for requesting a new project should be understood before continuing.

Fill in the required fields and any storage for data needed to continue with the application.

After continuing, verify the information displayed and submit the application when ready or save for later.

Once the project is submitted, users can be invited and invited to the project.

Managing projects

Projects that have been requested and approved should be managed periodically.

View all projects

To view all projects, even those not submitted for approval and still waiting on approval, navigate to Project -> View Projects.

View project allocations

Go to the project details page and select the Project Allocations button to view current and past allocations. A new allocation will be entered every time the project is renewed.

Renew a project

A project can be renewed to allocate more resources. Navigate to the Project Details page for the project to be renewed. There will be a Renew Project button. This will start the renew process which is similar to the new project application process, except that basic project information entered initially cannot be edited.

Manage users on a project

The PI of a project can manage the users on their projects. This includes inviting, adding and removing users to the project as well as increasing a user's privileges on a project so that they can assist with the management of it.

To manage a project, navigate to Project -> View Projects and select the blue button on the left of the appropriate project.

Adding users

Users can be added to the project by visiting the project details page and selecting the Project Users button. If the user already has an OSC account, then go to Current Project Members -> Add Project User and search them by display name or username. If the user does not have an OSC account, then they can be sent an invitation to sign up for an account and be immediately added to the project by going to Member Invitations -> Invite New User.

Invite/add multiple users using a csv file

Multiple users can be added or invited to a project using a csv file that is formatted properly. The csv file should have three columns and at least 2 rows, one for the header info and another for data. See the example below for the raw text of a proper csv file:

Upload the file and verify the data after stepping through the process. After complete, the current invitations and project members can be viewed in Member Invitations and Current Project Members respectively.

Removing users

Users can be removed by visiting the project details page and clicking Project Users -> Current Project Members and clicking the blue button left of the username in the list. Select Remove. Many users can be removed more easily by activating the red Enable Quick Removal/Approval button while in the Current Project Members section. There will then be a new column with a symbol. Click the  icon to delete the user instantly.

Invitations can also be deleted by navigating to Member Invitations and selecting the icon on the left of the invite.

Manage user roles

Users can be assigned an admin role on a project by the PI and other project admins. A user can be assigned this role by navigating to the project details page and clicking Project Users -> Administrative Roles -> Add User Role. The only two roles that should be used are Project, Admin Access and Project, No Admin Notifications. Both roles allow a normal user to manage the project as if they were the PI. This allows them to renew the project and manage all users on it.

The PI should designate a Project admin carefully, as they essentially act on the PIs' behalf when managing the project and have FULL privileges.
